What chain of custody means here

For a live scan desk, chain of custody is the story of the fingerprints from the person in the chair to the agency that receives the file. Who captured them, on which device, under which identity check, and who transmitted the package.

You do not need a security team to say that out loud. You need a role for the operator, a login that is not shared, and logs that survive a staff change.

Roles and records

One person captures. The same system timestamps the event. Rejects are recaptured under the same TCN story, not a side conversation. Applicants get a receipt. You can reconstruct the file if an agency asks what happened on Tuesday.

If that story lives in three inboxes, you do not have chain of custody. You have hope. Move the record into the capture platform and treat shared passwords as a business risk, not a convenience.
